1. Who We Are

Reservation Solutions provides remote guest-messaging and booking-operations support for independent hotels, guesthouses, and short-stay properties.

This is a practical support service designed to help busy owners and small teams manage reservations, guest communication, and day-to-day booking administration.

We work alongside you, using your existing systems and processes. We do not operate as the property owner, booking agent, or payment provider.

2. How the Service Works

Services may include:

  • Responding to guest enquiries
  • Managing reservations and updates
  • Supporting PMS and channel manager tasks
  • Handling routine booking communications

The exact scope of work is agreed with each client individually and confirmed in writing before work begins.

3. Working Together

To allow the service to run smoothly, clients agree to:

  • Provide accurate property information and policies
  • Ensure pricing, availability, and booking rules are correct
  • Provide appropriate system access where required
  • Respond to questions that require owner decisions

We rely on the information provided by the property, and cannot accept responsibility for errors caused by incorrect or outdated information.

4. Practical Limits of the Service

Reservation Solutions supports your operations but does not control:

  • Booking platforms or third-party systems
  • Payment processing
  • Guest behaviour
  • The physical property or on-site service delivery

While every effort is made to provide reliable support, occasional interruptions may occur due to internet outages, third-party systems, or circumstances beyond reasonable control.

5. Confidentiality and Trust

We understand that guest data and business information are sensitive.

Reservation Solutions treats all client and guest information as confidential and uses it only for the purpose of delivering agreed services. Reasonable steps are taken to maintain security and protect access to systems.

Clients remain responsible for their own legal obligations relating to guest data and local regulations.

6. Fees and Payment

Fees and payment terms are agreed in writing before services begin.

Where payment is overdue, services may be paused until the account is brought up to date.

7. Ending the Service

Either party may end the service with reasonable written notice, as agreed at the start of the engagement.

We may suspend or end services where:

  • Payment terms are not met
  • Required access or information is not provided
  • Requests are unlawful or inappropriate
8. Liability

Reservation Solutions provides operational support and guidance, but final responsibility for property management decisions remains with the property owner or manager.

To the extent permitted by law, Reservation Solutions cannot be held responsible for:

  • Loss of bookings
  • Loss of revenue
  • Indirect or consequential losses

Where liability applies, it will be limited to the value of services provided in the previous month.

9. Governing Law

Unless otherwise agreed in writing, these terms are governed by English law.
